1. Payment: In order to reserve your booking, we require a £50 deposit, payable via BACS (bank transfer) or Cash. We cannot reserve any events without a deposit. The remaining balance is payable on the day when we arrive as we will not be able to set up without payment.
2. Cancellations: Any customer cancellations must be in writing via email to thegamingpad@outlook.com
Please note all deposits are non refundable. We will only refund if The Gaming Pad causes the cancellation.
3. Changing the Date of a Booking : At The Gaming Pad we understand that a customers plans can change and we cater as much as possible for you. Therefore we only require 2 weeks’ notice for a change of date. If for any reason the 2-week notice period is not given, the booking will be treated as a cancellation and the deposit will be non-refundable. If you wish to rebook, a new booking will be required including £50 deposit. In some exceptional circumstances, our management may be able to move your booking with no cost implications, but this is not guaranteed.
4. Arrival: We always aim to arrive with adequate time to set up. In the event we are delayed due to traffic or other unforeseen circumstances (e.g Breakdowns), your booked gaming time will still be honoured with the full allocation of hours, but no discount or compensation will be paid.
5. Our Rights to Cancel: The Gaming Pad reserve the right to cancel any booking taken at any stage up to the time of the event due to circumstances outside of our control such as extremely bad weather, staff illness, or any unsolvable technical issues. If an alternative date is not achievable, then all deposits/final balances paid will be refunded in full without delay.
The Gaming Pad has no minimum or maximum age limit, and we would never dictate who can play games and who can’t. Children around the age of age 5 and 6 will require a lot more support than a group of teenagers who have years of experience. We will fully assist with every party and offer as much support and involvement as we feel necessary for the gamers taking part in the day’s events.
At The Gaming Pad, we find every party is different and each parent or guardian has their own rules about age-related gaming and viewing. Therefore, we only seek the permission of the person booking the event to set up an age-appropriate event. If this is not required; you can have full access to our games.
Event participants can bring and play their own games if they want.
It is the Event Organisers responsibility to ensure that parental consent is obtained from all parents/guardians of party guests to play age related games.
Screen Hire - All live events, movies, live streaming content will need to be provided and purchased by the Event organiser. The Gaming Pad will only be providing the van screen hire and speakers.
Our consoles are checked for game updates daily but with no warning or control over what time or date game updates are released to the world by the game manufacturers, we can’t guarantee playability of all games. Although we will always try to make sure all games are available, in the event a game requires an update during a gaming event, no liability will be accepted by The Gaming Pad for the lack of gameplay for the specific game in question. This includes Fortnite.
It is the Event Organiser’s responsibility to ensure there is adequate parking at the agreed location, that the ground is flat enough, (slanted to not good) and that there is adequate access to the proposed parking place.
Our van requires 8 metres in length to park. It is your responsibility to liaise with neighbours or others that could block our access in. We recommend a minimum 4 metre gap for ideal viewing of the outdoor screen.
We allow 20 minutes prior to a booked start time to get parked, plugged in, and set up. Any delays such as the ones listed here may impact on your booked gaming time. We reserve the right to abandon any event upon arrival if we cannot park safely or access the proposed space safely or without your assistance. In this event, no refunds will be made of any amount.
Any parking fees are the responsibility of the Event Organiser. We accept no responsibility for any damage to driveways or ground parked on during the event. Our driver will always seek permission before driving on any surface such as grass or decretive drives. It is the Event Organisers responsibility to take advice from a qualified person whether the grounds are suitable to support our Vehicle (3.5 ton van). By inviting us onto your grounds the Event Organiser is accepting full responsibility for any damage that may be caused.
It is the Event Organiser’s responsibility to provide access to a minimum of one standard plug socket within 20 metres of our parked position. Failure to provide this could mean having to abandon the event with no refunds given.
During hot and cold conditions, we have the optional use of a heater/fan. The Gaming Pad holds no responsibility in the unlikely event of any damage caused to the power supply for the event.
We reserve the right to remove or request the removal of anyone inside the gaming bus if we judge their behaviour to be aggressive in any way towards our equipment, often known as 'Game Raging'. Any damage caused to our equipment or van during the event as a result of improper behaviour or vandalism is not acceptable.
We also reserve the right to charge the booking party for the reasonable costs of repair or replacement or abandon the event without prior warning or refunds.
The Gaming Pad does not tolerate bad language, threatening, disrespectful or aggressive behaviour within the van or towards our staff or other attendees of the event. Accordingly, we reserve the right to remove anyone from the van as necessary or end the event at any time with no refunds.
We reserve the right to request the removal of any member of the event party from the van if there is adequate reason to believe they are under the influence of drugs or excessive alcohol consumption. Failure to comply with these rules may result in a stoppage of gameplay temporarily or in full.
Every effort has been made to ensure our van is safe, clean and, altogether fit for purpose, and that it complies with all Health and Safety requirements but anyone entering or exiting the van does so at their own risk. The Event Organiser must ensure that any child or adult entering the van or using any equipment of 'The Gaming Pad' is aware of all safety measures in place. The Gaming Pad is therefore not liable for any injuries that may occur while playing in the Van.
No food or drink is to be consumed inside our van unless granted by our team. No smoking or vaping is permitted within our van.
For your peace of mind, all adult members of our staff are DBS certified, proof of which can be requested prior to the event date.
We hold no responsibility over any event attendee who may suffer from any form of photo-sensitivity-related incident.
Unfortunately, the inside of our van is not wheelchair accessible, though we do offer limited gameplay access via our outside screen.
For advertising purposes, we may take photos and/or short videos. These may be used on our website or other social media advertising platforms. Details of this are also featured on our booking confirmation sent out upon every confirmed booking.
As we are unable to seek permission from the parents of all the children attending, we ask the booking party to let us know if you'd prefer no photos or videos. You are also welcome to take photos as you please.
In the event of unforeseen technical issues on-site resulting in less viewing, broadcasting, gaming time or fewer screens available, a discount will be evaluated on a case-by-case basis after the event.
Our van is equipped to be self-sufficient for online gaming via 4G and 5G (depending on location). If we are unable to source sufficient 4G/5G, whether due to bad positioning or poor coverage (i.e., in rural areas), we may request the use of the Event Organisers’ internet connection via Ethernet cable.
If sufficient internet is still not available, then offline gameplay will be prioritised, and our staff will make every effort to ensure this doesn’t affect the enjoyment of the event. We are in no way obliged to offer any discount to the Event Organiser if certain live events, games and gameplay are unavailable due to lack of internet reception.
